innovhr covers the organisation and its access, clients, staffing needs and their shifts, matching and worker mobilisation, talent tracking, monitoring, hours, notifications and the mobile application.

Organisation and access

Organisation spaces
Each organisation has its isolated space; one account can belong to several, with a role in each.
More details

Each organisation has its space, at its own address, and its data is filtered on every request: nobody sees another’s. One person can belong to several organisations, with a role in each; they simply accept the second one’s invitation. Example: a planner who works for two agencies of the same group keeps a single account.

Rights management
Five ready-to-use roles; the administrator sets what each role can see and do, module by module.
More details

The roles cover each job: administrator, team manager, planner, worker and client agent. Rights are controlled module by module: staffing needs, planning and absences for those who plan, client sites for managers, public holidays for the administrator. An administrator manages the managers, planners and workers; a team manager manages those of their team.

Invitations and access
Invitation by email; sign-in with a password, Google or Microsoft; managed in the settings.
More details

“Create a new user” sends an invitation by email. The person creates their password (8 characters, an uppercase letter, a digit, a special character) or signs in with their Google or Microsoft account. Invitations sent are tracked in the settings, where they can be resent or cancelled; at first sign-in, a short journey completes the identity, profile, contact details and photo.

Company single sign-on (SSO)
Users sign in with their company account; an organisation can require it.
More details

Your staff sign in with your company account, using the OpenID Connect standard, with no new password to remember. The organisation can require this mode for all its users, and signing out of innovhr also closes the company session.

Organisation settings
Time zone, working hours by day, public holidays.
More details

The settings bring together the time zone (Europe/Zurich by default), the working hours of each day, up to five time ranges, and the public holidays, which apply to the whole organisation. By default: Monday to Friday, from 08:00 to 12:00 and from 13:00 to 17:00. A worker can keep their own hours.

Languages
French, German, Italian and English.
More details

The interface, emails and messages exist in French, German, Italian and English, and everyone chooses their language. Staffing needs and profiles also specify the languages spoken, with their level, from A1 to native.

Data protection (Swiss FADP, GDPR)
Retention periods by type of data, then automatic anonymisation or deletion; deletion or anonymisation of a person on request; versioned consent texts, each acceptance dated and tied to its version; export of a person’s data.
More details

For each type of data, you set a retention period; when it expires, the data is anonymised or deleted automatically. A person can request the export or deletion of their data, and each consent text is versioned: we know who accepted which version, and when. Texts read by the AI are processed in Switzerland, and the name of your clients is never sent to a model.

Clients

Clients and sites
Client record (size, sector), sites with contact, archiving; creation by the AI from a text.
More details

The client record brings together the company, its address, size, sector and contact person; its tabs group the sites, agents and on-call duties. Each site has its address, contact and authorised agents, and a closed site is archived without losing its history. The assistant creates a client from a pasted text: name, address, size, sector and contact.

Client portal
Client agents submit their requests and on-call needs, choose the on-call worker, follow interventions, approve hours and rate assignments.
More details

The client’s agents have their portal: they submit a request in three steps (the need, the dates and hours, the review), then follow it from “Received” to “Completed”. They see upcoming interventions, choose the on-call worker from the authorised pool, approve hours and rate assignments. Each agent only accesses the sites open to them.

Staffing needs and shifts

Staffing need record
Client, site, position and replacement positions, skills, certifications, languages, experience, education, attachments, internal comments, order reference.
More details

A staffing need record describes the client and the site, the order reference, the profile sought (main position and related positions), technical and interpersonal skills, certifications, languages, experience and level of education, with a description, an internal note and attachments (PDF, Word, emails, images). The list of staffing needs filters in one click: action required, answers received, to distribute, incomplete coverage, imminent start.

Creation by the AI
A pasted email becomes one or more pre-filled staffing needs, missing fields flagged; one sentence becomes shifts.
More details

Paste an email or describe your need in a few sentences: the AI draws up to five pre-filled staffing needs from it, with the position, skills, certifications, languages and shifts. It invents nothing: what it did not find is flagged. A sentence such as “every Tuesday in September, from 08:00 to 12:00, with 1.5 FTE” becomes shifts, night duty included.

Reuse a staffing need
Takes over the detail, profile or shifts of an existing staffing need.
More details

For a request that comes back, choose one or more existing staffing needs and what you take over: the detail (client, place, description), the profiles, the shifts. The new staffing need is ready in a few seconds, it only needs adjusting.

Shifts and recurrence
Time ranges or FTE; recurrence by day, week or month, up to a number or a date.
More details

A shift has precise hours and a number of people, or no hours and a volume in FTE spread over the period. It repeats every N days, weeks or months, on the chosen days, up to a number of occurrences or a date; each occurrence becomes a shift in its own right, followed and filled separately.

On-call duty
Recurring on-call calendar: clients and sites covered, workers who can be called on, exclusions; the on-call team is notified, the client chooses the worker from their portal.
More details

On-call duty is defined once: one-off or recurring, for which clients and sites, with the workers who can be called on, for example all the agency’s temps, except some. The on-call team is notified; during the period, the client chooses the worker themselves from their portal.

Matching and mobilisation

Smart matching
Ranks workers for each shift: position, skills, certifications, availability, distance to the site, experience, assignments already done on this assignment or for this client, client satisfaction rating (NPS), the organisation’s priorities; each score can be explained.
More details

The score weighs each criterion: the position, eliminatory if it does not match, technical skills and certifications, then interpersonal qualities, availability, distance to the site, assignments already done for this client and its satisfaction rating. Each organisation sets its weightings. The detail is shown line by line, for example “Missing: BLS-AED”, “6 km”, “4 assignments here”.

Matching staffing needs
On a worker’s record, the staffing needs where they score 80% or more.
More details

On a worker’s record, innovhr lists the open staffing needs where they score 80% or more, from the best score to the closest in time. One click on “Offer” sends them the shift, or reminds them if they have already received it.

Sending offers
The offer goes to the chosen workers, on the application, by email or SMS, with a message and attachments; reminder in one click.
More details

Sending takes three steps: the shifts to distribute, the targeted people (profiles at 80% or more are preselected), then the message. The message is personalised with the first name, position, facility and shifts, and goes out on the application, by email or by SMS, with its attachments. A draft can be kept, a reminder goes out in one click.

Multi-source distribution
A staffing need published once goes to internal staff, partner agencies, freelance staff and the pool, according to the organisation’s rules.
More details

A staffing need published once goes to your internal staff, your pool, your freelance staff and your partner agencies, in the order the organisation sets: for example internal staff first, then the pool, then the agencies if the shift is not covered. Each partner agency receives the staffing need in its own innovhr and offers its profiles there, which arrive in your ranked list, next to your teams, with their source.

Worker answers
Accept or decline in one click on the application; the planner sees who has seen, accepted or declined.
More details

Each worker accepts or declines in one click, and the planner sees who has seen, accepted or declined. Each shift says where it stands: waiting for answers, no profile has accepted, or “0.5 FTE still to cover”.

Assignment
The Actions tab shows the places to fill and the best profiles that accepted; “Validate all” assigns in one click; withdrawal possible.
More details

The Actions tab sorts the work: profiles ready to validate (acceptance and score of 80% or more), those to examine, shifts without a relevant answer and those already covered. “Validate all” assigns in one click; a stack view lets you assign or skip with the keyboard. innovhr blocks double assignments and overlaps with other assignments.

Urgent replacement
An uncovered shift or a drop-out is flagged, the best replacement offered, validated in one click.
More details

When a shift is left with nobody, the “To do” widget flags it at once, at the top of the list if it starts within two days. One click sends it to the best profiles not yet approached; the first acceptance is assigned in one click.

AI “To do” widget
All open tasks, sorted by urgency (uncovered shift, understaffing, pending answers, acceptances to validate), with help to handle each in a few clicks; alerts on chosen thresholds.
More details

The widget brings together the open tasks: uncovered shifts, understaffing, awaited answers, acceptances to confirm. They are ranked by urgency, critical at two days or less, high at seven days, and each is handled on the spot: “Confirm Léa Martin”, “Send to the 3 best profiles”, or “Later”. Nothing is applied without your approval.

Creation in one sentence
The assistant creates a client, a staffing need or a worker from one sentence.
More details

In the assistant, write or dictate your request, for example “New temp, Sara Rossi, nurse, sara.rossi@exemple.ch”. It answers “Here is what I understood…”, flags what is missing, then opens the pre-filled form of a client, a staffing need or a temp. Nothing is created without your validation.

Shift history
Creation, sending, seen, accepted or declined, assigned or withdrawn.
More details

Each shift keeps its dated history: creation, modification, distribution, offer sent, reminder, acceptance or refusal, assignment and withdrawal, with who did what. When a client asks a question, the answer is there.

Messaging
Exchange with workers from the assignment.
More details

The planner exchanges with workers from the assignment: a question about the hours, a document to provide, a detail about the place. The conversation stays attached to the assignment, and internal comments stay between planners.

Satisfaction rating (NPS)
The client rates each completed assignment; the rating feeds the matching and the statistics.
More details

At the end of each assignment, the client gives a satisfaction rating. It enters the matching score, a well-rated worker for this client moves up the list, and the statistics, by client and by team.

Workers and talents

Advanced worker CV
Internal or external; positions, skills, software, certifications, languages, experience, education, past assignments; indicators (assignments, acceptance rate, planned hours, response time); creation by the AI.
More details

A worker’s profile, internal or external, brings together their career, education, job skills, qualities, software, certifications, languages and past assignments, grouped by client. Four indicators over twelve months sum it up: assignments done, acceptance rate, planned hours and response time. The assistant creates a profile from a text.

Talent tracking and skills mapping
All the organisation’s skills and their levels, rare skills, talents to develop, everyone’s progress over time.
More details

The mapping shows all the organisation’s skills with their levels: where you are well covered, which skills are rare, who can progress. It tracks everyone’s progress over time and helps decide who to train or recruit. Lists filter by position, skill, certification, permit or contract.

Contract, permit, documents
Contract, work permit, documents with expiry date; alert before expiry.
More details

The contract (fixed-term, permanent, temporary, freelance, rate and hours per week), the work permit (B, C, G) and the documents (diploma, first aid, criminal record extract, liability insurance) are stored with their due date. The file shows “Ready”, switches to “To watch” as soon as a document expires within 60 days, or lists the missing documents, and an alert goes out before expiry.

Hours and absences
Weekly hours of each person; holidays, sickness, unavailability, also entered by the worker.
More details

Everyone has their weekly hours, or the organisation’s. Absences (holidays, sickness, unavailability) are entered by the day or by the hour, by the planner or by the worker themselves on their application, and the planning takes them into account at once.

Planning
Each day’s load as a percentage, Absences view, savable filters, grouping by position, conflicts flagged.
More details

The planning shows everyone’s load, day by day, as a percentage, and switches to the Absences view in one click. Conflicts are flagged: two assignments on the same day, an assignment outside working hours, on a public holiday or during an absence. Filters can be saved, and the planning can be grouped by position.

Monitoring, hours, notifications and mobile application

Dashboards and statistics
Hours requested, covered and still to cover; performance by team, client or planner; period comparison; response and assignment lead times.
More details

Coverage monitoring compares the hours requested, covered and still to cover, with the coverage rate. Performance analysis filters by team, client or planner, compares with the previous period, and tracks the time to first assignment and the share of answers within 48 hours.

Automatic reports
Scheduled reports, sent by email as PDF, as a summary or as CSV.
More details

Schedule a report once: the week’s coverage, the month’s performance, the approved hours. It is sent by email at the chosen frequency, as a PDF, as a summary in the message or as a CSV, to the recipients of your choice.

Time clocking and approval of hours
The worker clocks arrival and departure on the application; the client compares with the plan, approves or disputes; gap flagged to the minute, break deducted, dispute followed until corrected.
More details

The worker starts their day, takes their break and finishes on the application, to the minute. The client compares with the plan, “As planned” or “Gap of 14 min”, flat-rate break deducted. They approve the hours without a gap in one go, or dispute (arrival, departure, missing clocking, absence) and follow the correction; no approval is automatic.

Notifications and preferences
Everyone is notified of the events that concern them (offer, answer, reminder, alert) and chooses which, and through which channel: application, email or SMS.
More details

Everyone is notified in real time: new offer, reminder, offer accepted or declined, new assignment. In their preferences, they choose the events that concern them and the channel: application, email or SMS.

Mobile application for workers
Offers, answers, assignments, planning and time clocking on the phone.
More details

On their phone, the worker finds their offers, which they can all accept with one gesture, their assignments, their planning, their availability (typical week and one-off absences) and time clocking. A new assignment is announced by a banner; the application exists for iPhone and Android.
